Technical Submission Details

Web Submission

If submitting via the on-line submission program on the conference web site (www.AIDSvaccine2001.org):

Extensive help sections for submitting abstracts electronically appear on the web site. Submitters will be prompted through the electronic submission process.

The electronic abstract form allows for italics, underline, bold, superscript, and subscript formatting as well as Greek characters (both upper and lower case). Charts, tables, and graphs may not be included in electronic abstract submissions (if your abstract requires this type of formatting, please submit your abstract as an e-mail attachment).

Submitters may type their abstract directly into the web interface abstract box or copy and paste the text of their abstract from a word processing document or a clipboard into the abstract box. When cutting and pasting, formatting (i.e., italics, underline, bold, super and subscripts) will be lost and need to be reapplied using the instructions given on the web site.

Abstracts submitted over the Internet are limited to 2,500 characters. Should an abstract exceed the space limitation, the user will be notified the current character count has exceeded the limitation and what the overage is. The abstract fields (authors, affiliations, and abstract text) must then be edited to comply with the space limitation prior to continuing the submission process.

The electronic submission program allows authors to exit and re-enter prior to the final submission of an abstract. This features provides co-authors the opportunity to review the abstract on line prior to its final submission (provided the corresponding author shares his/her user name and password). Submitters are strongly recommended to review the abstract prior to its final submission, as no changes may be made afterward. Please note that if an abstract has been entered but the final submission button is not clicked, it is not technically submitted and therefore will not be reviewed. The corresponding author has ultimate responsibility for the content and layout of the abstract submission; any changes made to an abstract should be cleared through that individual. Do not send multiple submissions of the same abstract with incremental changes over the Internet.

Once an abstract is submitted electronically, a confirmation message will appear on the screen with an abstract number assigned. Please print this confirmation screen and keep it as a record until you receive your abstract disposition notification on or around August 15.

E-mail Submission

If submitting as an e-mail attachment
(to info@AIDSvaccine2001.org):

Abstract should:

be submitted as a single Microsoft Word file
be typed in Times New Roman font in a size of 11 points
not exceed 2500 characters or 350 words (whichever is greater)

Include:

  1. Subject Category: For review purposes, please select the appropriate primary category and subcategory from the list above.
  2. Title: Use a concise title that indicates the content of the abstract. Capitalize the first letter of each word except prepositions, articles, and species names. Specific names of microorganisms should be italicized; if italicization is not possible, scientific organism names should be underlined.
  3. Authors: Authors' names should be typed in upper and lower case, using first initial and last name. Place an asterisk (*) after the name of the author presenting the paper. (e.g., J. Doe*1, R. McDonald2, J.-P. Sartre3, and B. Hahn4)
  4. Affiliations: Each author should be listed by institution, city, and state (do not include department, division, laboratory, etc.). All affiliations should appear after the last author's name. For abstracts with authors with different affiliations, insert superscript numbers after authors' last names and before each affiliation (e.g., 1Univ. of London, UK; 2Washington Univ., St. Louis, MO, US; 3Pasteur Inst., Paris, France; and 4Univ. of Alabama at Birmingham, US)
  5. Abstract Text: Organize as Background, Methods, Results, and Conclusions; use Times New Roman 11 point; all abstract text including title, authors, and affiliations should not exceed 2500 characters or 350 words.
  6. Key Words: To aid in the appropriate scheduling of abstracts into sessions and in the compilation of the program's subject index, please list 3 key words of suggested session titles for each abstract (highest priority first).

When submitting an abstract as an e-mail attachment, be sure to include (in the MS Word document) contact information for the corresponding author, specifically:

    first name
    last (family) name
    highest degree
    affiliation
    mailing address (including city, state, postal code, and country)
    telephone number
    fax number
    e-mail address
