Press Registration and Participation

The AIDS Vaccine 2001 Scientific Program Committee welcomes media participation in order to facilitate the dissemination of research presented at the conference. The following resources will be provided to accredited members of the media:

  1. Complimentary meeting registration
  2. Embargoed press kit (including the Program and Abstracts book)
  3. News briefings
  4. Meet-the-Expert sessions
  5. One-on-one interview opportunities
  6. A fully equipped media work room

Staff reporters employed by accredited news organizations attending the meeting for the purpose of editorial coverage will be granted media credentials. Journalists are required to submit appropriate media credentials as part of their registration application including a photocopy of official press credentials or a letter verifying assignment to the conference on the letterhead of the media organization being represented.

Registration is limited to three representatives from any one media outlet, however, due to space considerations, newsletters are limited to one representative each. If additional staff is required, please contact the Office of the Conference Secretariat.

Videotaping on the premises is permitted only when accompanied by an AIDS Vaccine 2001 newsroom representative. Videotaping scientific or educational sessions is prohibited.

International Media
Representatives from Non-U.S. media are required to pre-register by Friday, August 24, 2001 in order to receive press credentials to attend the AIDS Vaccine 2001 Conference. On-site media registration is not available for non-U.S. media due to the need to verify media credentials in advance.

Freelance Journalists
Freelance journalists who wish to cover the conference must submit copies of three bylined AIDS or vaccine related articles in addition to an official letter of assignment from an accredited news organization. In some cases, a copy of the publication/program, and/or proof of editorial freedom from funding sources may be required to establish media status for registration.

On-Line Media
Journalists working for online media who wish to register as media must work for organizations that meet the following criteria:

  1. The website must provide original, editorial news coverage
  2. Editorial content must be independent of advertising and sponsorship
  3. The site and its content must be overseen by an editorial advisory board
  4. Advertising must be clearly identifiable as such
  5. The website must have multiple sponsors (no single sponsor websites), and all sponsors should be clearly identified on the website

Newsletters
Newsletters are invited to register one representative to cover the meeting. Newsletter representatives must submit two issues of their newsletter containing at least one bylined AIDS or vaccine article. In some cases, proof of editorial freedom from funding sources may be required to establish media status for registration.

Medical Publishing Companies
Journalists working for medical publishing companies must have appropriate press credentials in order to register. The publications must also meet the following criteria:

  1. Must have multiple sponsors (no single-sponsor publications)
  2. Must have complete editorial freedom from their sponsors
  3. Must produce at least a 2 to 1 ratio of editorial coverage to CME material
  4. Editorial coverage must meet the FDA guidelines for educational writing
